Handling refunds

To those of you who have cancelled events due to the Corona situation

As everyone is aware, we are in a state of emergency and most sports clubs are struggling right now. At a time like this, it's natural to consider whether you need a refund or not, but not everyone necessarily wants their money back immediately. Many want to contribute to the collective effort underway to keep sports and sporting events alive.

Some clubs started issuing refunds last Thursday. Many of them regretted it afterward, when they discovered that several participants didn't actually need a refund, but wanted to contribute during a difficult time. At that point it's difficult or impossible to reverse a refund once it's been made.

The most common solution we're seeing around us, and one that seems to work well, is for the club to let people choose for themselves whether they want a refund.

1. No refund. The club avoids issuing refunds and everything can go toward covering the club's/event's loss

2. Refund half the money. In other words, the club refunds half, and the other half goes toward covering the club's/event's loss.

3. Full refund of the money the club has received, i.e. minus the transaction cost the card companies etc. have already taken. This is then all the money minus the transaction fee.

Clubs that have done this report that about 50% choose option two. About 30% choose option one, and the remaining roughly 20 percent choose option three.

This also simplifies administration, since you only have to handle responses on an ongoing basis according to preference. If you have installment payments, this means you don't need to cancel the order and everything continues as normal. Instead, you refund whatever amount those who want it request. Those who don't respond aren't refunded until they eventually do.
